Welcome to WebXam! Whether you’re administering assessments, teaching Career Technical Education (CTE) courses, or supporting your district’s testing program, this site will help you become familiar with WebXam and prepare for a successful testing experience.

If this is your first time using WebXam, we recommend working through the sections below in order.


What is WebXam?

WebXam is Ohio’s online assessment system for Career Technical Education (CTE) programs. Schools use WebXam to administer assessments that measure student knowledge and skills within approved career pathways.

Depending on your role, you may use WebXam to:

  • Administer student assessments
  • Manage district and school users
  • Enroll students into programs
  • Monitor testing progress
  • Review reports and assessment results
  • Prepare students using practice resources

Step 1: Understand Your Role

Different users have access to different features within WebXam.

District Testing Coordinators (DTCs)

  • Manage their program’s courses and assigned teachers
  • Upload and manage student rosters
  • Manage district user accounts (students, teachers, and administrators )
  • Configure testing accommodations
  • Access district-wide reports

Teachers

  • View and manage assigned students
  • Activate assessments
  • View reports

Administrators

Non-DTC Administrator accounts may administrate individual program-level permissions they are assigned to.


Step 2: Access Your Account

To begin using WebXam:

  1. Navigate to the WebXam login page.
  2. Sign in using your assigned username and password. Use the forgot password link if you have forgotten your password.
  3. If you cannot sign in, contact your local District Testing Coordinator for assistance.

If you are unsure who your District Testing Coordinator is, your school’s administration should be able to assist. If you are still having issues contact WebXam Support for assistance .


Step 3: Become Familiar with the Homepage

After signing in, take a few minutes to explore the interface.

Become familiar with the features of the WebXam homepage:

  • Navigation menus
    • Top menu- Documentation, Quick Start Guides, Support Info, and User Account
    • Sidebar menus – Global User Search, Administrative menus based on user account permissions, Test Activation, Student Management, and Reports.
  • Main body
    • Highlighter Resources – colored boxes at top of page
    • WebXam Calendar – shows important dates and testing deadlines

Understanding where these features are located will make administering assessments much easier.


Step 4: Learn the Testing Process

The typical testing workflow includes:

  1. District Testing Administrators:
    • Archive students account who have graduated or left the program.
    • Review CTE program details under the “Program” menu, ensuring all courses and teachers are assigned correctly.
    • Export Student data from the district’s student information system and upload to WebXam. Students should be rostered each year they are enrolled in CTE courses.
    • Check that student accommodations are correctly applied to student accounts through the roster upload process or manually editing student accounts.
    • Order Pretesting credits if needed using the “Order Tests” menu.
  2. Teachers review their assigned ODEW course outline to plan their instruction. Determine if their program’s courses are in Field Testing (different testing rules and deadlines).
  3. Teachers may choose to give the optional pretests (early fall or January – fee).
  4. Once students have completed the required material from the ODEW course outline the teacher may activate the post test (using “Activate Test” menu).
  5. During test activation the teacher should verify the students accommodations are set correctly before activation.
  6. Students complete the assessment.
  7. Teachers review reports after testing and plan test retakes if needed (requires 30 day wait for addtitional instruction).

Understanding this process before testing day helps avoid common issues.


Step 5: Review Important Dates

Throughout the school year, WebXam has important deadlines for:

  • Student roster uploads
  • Pretesting (if applicable)
  • Field testing
  • Operational testing
  • Retake windows
  • Reporting deadlines

Review the Testing Calendar regularly to ensure your district remains on schedule.


Step 6: Prepare Students

Students perform best when they know what to expect.

Helpful preparation includes:

  • Reviewing course content
  • Becoming familiar with question formats
  • Taking available practice tests
  • Understanding testing expectations
  • Ensuring they have required accommodations before testing

Step 7: Learn About WebXam Reports

WebXam provides several reports to help evaluate student performance.

Common reports include:

  • Summary Report
  • Testing Report
  • Pathway Report
  • Outcome Report
  • Teacher Effectiveness Report
  • CTAG-related reports (when applicable)

Each report provides different information for instructional improvement and program evaluation.

Who creates my account?

Most user accounts are created by your District Testing Coordinator.


I forgot my password.

Contact your District Testing Coordinator. They can reset your password if they have the appropriate permissions.

Start with your District Testing Coordinator or local administrator. If additional assistance is needed, they may contact WebXam Support.


Where can I find testing dates?

The Testing Calendar contains the latest deadlines and important dates.


Can students practice before taking an assessment?
